Key Management

The client was a hosting provider to Air BNB properties. There business was to enter a property and make the property ready for the incoming party staying at the property, ensuring the property was clean and presentable.

The Requirement

The client was in possession of over 40,000 keys comprised of both single and bunches. Managing the keys was a challenge and that on a daily basis keys would go missing or worse still keys would be lost creating a claim from the property owner for either key replacement or for locks to be changed.
If either of these two events happened this would be financially costly for the company and also a cause of embarrassment.

The System

Utilising a mixture of mixture of both RFID and NFC we proposed a system of tagging the keys which would allow the company to achieve the following

1. Be able to account for all keys that they were in possession of within their warehouse
2. Be able to find who was the last person to have possession of the keys if the were out in the field.
3. Be alerted if anyone tried to take a key out of the warehouse without permission.
4. Be able to produce meaningful reports regarding who had keys, when they had them, where they were last scanned.


The Result

Implementing this system would give a target reduction in lost keys of 70%, improve the ability of locating keys by 100% and reduce time to stock take keys by 2 days.
